When to send a receipt
An invoice asks for payment. A receipt confirms payment was received. Send a receipt when the client pays, especially if they need proof for expense reports or tax records. The receipt generator on InvoiceHub4U creates a short PDF tied to the payment event.
Retail businesses issue receipts at point of sale. Service businesses often issue them after bank transfer clears. Wait until funds are in your account before stating 'paid in full' unless your policy says otherwise.
Create the receipt
- 1
Open the receipt generator
Enter your business name and the customer details. Open receipt generator.
- 2
Link to the invoice
Reference the original invoice number, payment date, and amount received.
- 3
Download and send
Email the PDF to the payer or their accounts contact.
- Receipt number or reference
- Invoice number being paid
- Payment date and method
- Amount received
- Statement that balance is settled if true
Partial payments
For deposits or instalments, state the amount received and remaining balance. Do not mark 'paid in full' until the last payment arrives. You may send multiple receipts against one invoice.
Receipt vs invoice vs quote
See invoice vs quote vs receipt for how documents differ. Never reuse an invoice template as a receipt; the wording and purpose differ.
Record keeping
Store receipt PDFs with the matching invoice in your records. InvoiceHub4U does not archive documents for you. Your bookkeeping system should show invoice issued, payment received, and receipt sent.
Refunds
If you refund a payment, issue a credit note or revised documentation according to your accountant's advice. The receipt generator confirms payment, not refunds.
Receipt wording
State 'Payment received' with date and method. Reference invoice number and amount. If partial, show balance remaining explicitly.
Avoid calling a receipt an invoice. Titles matter for client expense systems.
B2B expense reimbursement
Employees submitting receipts to employers need your business name, their payment amount, and invoice reference. The receipt generator produces a clean PDF for that workflow.
- Receipt date equals bank clearance date when possible
- Match currency to original invoice
- Send to payer and AP if different contacts
Receipt creation walkthrough
Open receipt generator after bank clearance. Enter payer, amount, date, method, invoice number paid.
Partial payments: show remaining balance. Full payments: say paid in full. Do not reuse invoice template.
File next to original invoice PDF in your records folder.
Timing and partials
Issue receipts when money clears, not when the client promises payment. For partials, show math: Invoice 500, received 200, balance 300. The receipt generator keeps that visible.
Store receipt next to invoice in the same client folder. Year-end audits trace invoice to bank to receipt quickly.
Day-to-day workflow on InvoiceHub4U
Open InvoiceHub4U when you are ready to produce the PDF, not when you are still negotiating scope. Fill business details once per session, then focus on line items and totals. The preview panel exists so you catch formatting errors before a client sees them. Treat the preview as mandatory quality control rather than optional eye candy.
Use Create a payment receipt as your main entry point for this topic. The generator runs in your browser without forcing account creation. That keeps the workflow fast for one-off documents, but it also means you should save the downloaded PDF immediately. Build a folder structure by client name and year so you can find documents when tax time arrives.
Internal links across InvoiceHub4U help you pick the next document in the chain. Quotes precede invoices when price was not pre-agreed. Proforma documents appear in import or deposit workflows described in our document guides. Receipts close the loop after bank clearance. Jumping straight to the wrong tool creates PDFs with the wrong title even when the numbers are right.
- Confirm client legal name before download
- Match invoice or quote numbers to your spreadsheet
- Send PDF from an email address the client trusts
- Keep copies outside the browser session
- Confirm tax treatment with a qualified adviser when unsure
Honest limitations
InvoiceHub4U helps you format and calculate line totals from the numbers you enter. It does not register your business, validate tax IDs with government APIs, or file returns. Requirements change in the US, UK, EU, Australia, Canada, UAE, and Saudi Arabia. Use official guidance alongside this tool.
